Oldbury Stay – Booking Terms and Conditions

These Terms and Conditions apply to all bookings made with Oldbury Stay Limited (“Oldbury Stay”, “we”, “our” or “us”) and all guests visiting or staying at the campsite.

By making a booking, entering the campsite, or using our website, you agree to these Terms and Conditions.


1. Bookings

1.1 A booking is confirmed once payment has been received and a confirmation email has been issued.

1.2 The person making the booking must be at least 18 years old and is responsible for all members of their party.

1.3 Guests must ensure all booking information provided is accurate and up to date.

1.4 We reserve the right to refuse or cancel bookings where false, misleading or incomplete information has been provided.


2. Payment

2.1 Full payment may be required at the time of booking unless otherwise stated.

2.2 Any additional charges incurred during your stay must be paid before departure.

2.3 Failure to pay outstanding balances may result in cancellation of the booking or future bookings being refused.


3. Cancellations and Amendments

3.1 Bookings cancelled more than 28 days before arrival will receive a refund less any non-refundable booking fees.

3.2 Bookings cancelled within 28 days of arrival are non-refundable.

3.3 We strongly recommend guests take out appropriate holiday or travel insurance.

3.4 Date changes may be permitted at our discretion and subject to availability.

3.5 No refunds will be given for late arrivals, early departures, adverse weather conditions, personal circumstances, travel disruption, illness, change of mind, or failure to comply with these Terms.


4. Arrival and Departure

4.1 Check-in and check-out times will be confirmed in your booking confirmation.

4.2 Guests arriving outside published check-in hours must contact us in advance.

4.3 We reserve the right to refuse admission where identification cannot be provided if reasonably requested.


5. Campsite Rules

5.1 Guests must behave respectfully towards other visitors, staff, neighbours and wildlife at all times.

5.2 Excessive noise, abusive behaviour, threatening conduct, anti-social behaviour or nuisance will not be tolerated.

5.3 Quiet hours apply between 10:00pm and 7:00am unless otherwise advised.

5.4 Guests asked to leave due to misconduct will receive no refund.

5.5 Commercial activity, organised events, parties or gatherings require prior written permission.


6. Children

6.1 Children under 18 must be supervised by a responsible adult at all times.

6.2 Parents and guardians remain responsible for the safety and conduct of children throughout their stay.

6.3 Children must not be left unattended anywhere on the campsite.


7. Vehicles

7.1 All vehicles are brought onto the site entirely at the owner’s risk.

7.2 Speed limits must be observed at all times.

7.3 Vehicles may only be parked in designated areas.

7.4 Vehicle movements should be kept to a minimum during quiet hours.

7.5 Electric vehicle charging is prohibited unless using designated charging facilities.


8. Dogs and Pets

8.1 Well-behaved dogs are welcome unless otherwise stated.

8.2 Dogs must remain under control and on a lead at all times.

8.3 Owners must clean up after their pets immediately.

8.4 Any damage or disturbance caused by pets remains the responsibility of the owner.

8.5 We reserve the right to require the removal of any animal causing nuisance or safety concerns.


9. Fires, BBQs and Cooking

9.1 BBQs and cooking equipment may only be used in accordance with campsite instructions.

9.2 Fires are prohibited.

9.3 Disposable BBQs must not be placed directly on grass, decking or picnic tables.

9.4 Guests remain responsible for safely supervising all cooking equipment.

9.5 Charcoal and gas may only be sourced from approved suppliers and wood must not be collected from surrounding woodland to burn.

9.6 BBQs must never be left unattended.


10. Woodland, Wildlife and Environment

10.1 Oldbury Stay is located within a sensitive woodland environment.

10.2 Guests must not damage trees, plants, habitats or wildlife.

10.3 Feeding wildlife is discouraged unless specifically permitted.

10.4 Guests must remain on designated paths where requested.

10.5 Littering is prohibited.

10.6 We reserve the right to recover the cost of repairing any environmental damage caused by guests.


11. Safety

11.1 Guests must familiarise themselves with emergency procedures displayed on site.

11.2 Guests must comply with all safety notices and instructions from staff.

11.3 Any accident, injury, fire, damage or hazard must be reported immediately.

11.4 Certain areas of the campsite may contain natural hazards including uneven ground, roots, ponds, wildlife, falling branches and changing weather conditions.

11.5 Guests use the campsite at their own risk.


12. Property and Belongings

12.1 Vehicles, tents, caravans, motorhomes, awnings and personal belongings remain the responsibility of the owner.

12.2 We accept no responsibility for loss, theft or damage except where required by law.

12.3 Lost property will be retained for a reasonable period and may be disposed of if unclaimed.


13. Damage

13.1 Guests are responsible for any damage caused by themselves, members of their party, children, pets or visitors.

13.2 We reserve the right to recover the cost of repairs, cleaning, replacement or consequential losses arising from such damage.


14. Visitors

14.1 Day visitors may only attend with prior permission.

14.2 Additional charges may apply.

14.3 Registered guests are responsible for the conduct of their visitors.


15. Photography and Marketing

15.1 Guests may take photographs for personal use.

15.2 Commercial photography, filming or drone use requires prior written permission.

15.3 We may occasionally capture general promotional images of the campsite. Where individuals are clearly identifiable, consent will be sought where appropriate.


16. Website Use

16.1 Information published on our website is provided in good faith but may change without notice.

16.2 We do not guarantee uninterrupted access to the website.

16.3 Website content remains the property of Oldbury Stay Limited unless otherwise stated.


17. Force Majeure

17.1 We shall not be liable for failure to perform our obligations where circumstances arise beyond our reasonable control.

Examples include:

  • Extreme weather
  • Flooding
  • Storm damage
  • Fire
  • Disease outbreaks
  • Government restrictions
  • Utility failures
  • National emergencies
  • Industrial action

17.2 Where necessary for safety, we may close all or part of the campsite without liability.


18. Our Liability

18.1 Nothing in these Terms excludes liability for death or personal injury caused by our negligence or any other liability which cannot be excluded under law.

18.2 Subject to the above, our total liability arising from any booking shall not exceed the total amount paid for that booking.

18.3 We shall not be liable for indirect, consequential or economic losses.


19. Right to Refuse Admission

19.1 We reserve the right to refuse admission, cancel bookings or require guests to leave the campsite where:

  • These Terms are breached.
  • Guest behaviour causes nuisance or danger.
  • False booking information has been provided.
  • Safety concerns arise.
  • Staff are subjected to abuse or threatening behaviour.

No refund will be payable in such circumstances.


20. Data Protection

20.1 Personal information will be processed in accordance with our Privacy Policy available on our website.


21. Governing Law

21.1 These Terms and Conditions are governed by the laws of England and Wales.

21.2 Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
